ABOUT EAGLE RANCH
Eagle Ranch is a Christ-centered nonprofit organization located in Flowery Branch, Georgia, that takes a whole family approach to restoring and renewing relationships for children and families. Eagle Ranch was founded in 1985 and has served thousands of children and their families.
PURPOSE OF THE POSITION:
The Accounting Assistant supports Eagle Ranch’s financial operations by ensuring the accurate, timely, and compliant processing of financial transactions, documentation, and reporting. This position plays a vital role in maintaining strong internal controls and stewardship of organizational resources through effective management of cash disbursements, cash receipts, credit card activity, payroll data entry, and vendor relationships. This role works collaboratively with the Accounting Manager and helps ensure the integrity of financial records while also contributing to monthly reporting and the annual audit process.
PRIMARY DUTIES AND RESPONSIBILITIES:
Administrative
• Files correspondence and other documents as needed.
• Verify that all journal entries have documentation.
• Attends required staff departmental meetings.
• Other duties as assigned.
Financial
Cash Disbursements
• Process invoices with appropriate authorization, proper accounts and propriety.
• Verifies sales tax exemption used for large purchases.
• Prepares & delivers payments to vendors via check/credit card/electronic transfers.
• Reviews cash flow needs and requests transfer of funds to keep sufficient funds.
• Prepares & mails Form 1099 to independent contractors for services rendered.
• Reviews and maintains Vendor credit accounts.
• Input payroll data.
• Participate in monthly reporting, including productivity reports and client assistance funds.
Cash Receipts
• Deposit and record incoming checks.
• Record incoming ACHs and wire transfers.
• Coordinates with Development team to as needed. Review daily gifts.
• Post journal entry and verify all scanned documents.
• Record insurance, self-pay, and retreat payments by client as received.
• Assist therapist to resolve insurance payment issues.
Credit Cards
• Manages SAP/Concur system, verifying all users accounts and post results.
• Download and email statements to each user.
• Answer questions/problems with employees or credit card vendor (time sensitive).
• Reviews credit card statement/receipts for propriety and accounting distribution.
Other
• Interfaces with Eagle Ranch’s certified public accounting firm in completing and preparing annual audit.
• Uses Eagle Ranch donor and accounting systems, ensuring adequate accounting and financial control.

REQUIREMENTS:
• Associate or bachelor’s degree preferred.
• Minimum of 2 years of experience in clerical accounting or accounts payable required; more experience preferred.
• Demonstrated experience in and understanding of accounting, including accounts payable and cash receipting.
• Excellent verbal and written communication, especially as it relates to financial matters and notes accompanying financial statements for records.
• Able to use Microsoft Excel, Microsoft Word and database programs.
